Santos Party Rentals LLC – Rental Terms & Conditions

Rental Terms

By booking with Santos Party Rentals LLC, the customer agrees to the following terms and conditions:

1. Reservation & Payment

  • A signed agreement and required deposit are needed to reserve your rental.

  • The remaining balance is due before or at the time of delivery unless otherwise agreed in writing.

  • We accept cash, credit/debit cards, and other approved payment methods.

  • Reservations are not guaranteed until the required deposit has been received.

2. Delivery & Pickup

  • Delivery and pickup times will be scheduled in advance.

  • An adult (18+) must be present during delivery and pickup.

  • The customer is responsible for ensuring the setup area is clear, safe, and accessible.

  • Additional delivery fees may apply for stairs, long carry distances, difficult access, or waiting time caused by the customer.

  • Rental equipment must be ready for pickup at the agreed-upon time.

3. Customer Responsibility

  • All rental equipment remains the property of Santos Party Rentals LLC.

  • The customer is responsible for all rented items from the time they are delivered until they are picked up.

  • Equipment may not be moved, altered, or relocated without prior approval.

  • Rental items must be protected from theft, vandalism, weather, and misuse.

4. Damage, Loss & Theft

  • Customers are responsible for any damaged, lost, stolen, or destroyed equipment.

  • Repair or replacement costs will be charged based on the current replacement value.

  • Charges may include labor, shipping, and replacement costs if applicable.

5. Cleaning Policy

  • Equipment is expected to be returned reasonably clean.

  • Chairs should be free of food, gum, tape, decorations, and excessive dirt.

  • Tables should be wiped clean and free of excessive debris.

  • A $50 cleaning fee may be charged for equipment returned excessively dirty or requiring significant cleaning.

6. Canopy Safety

  • Canopies must always remain properly secured using stakes or approved weighted anchors.

  • Customers may not remove, relocate, or adjust canopies after installation.

  • Canopies must not be used during severe weather, including high winds, thunderstorms, or other dangerous conditions.

  • Santos Party Rentals LLC reserves the right to refuse setup or remove equipment if weather conditions become unsafe.

7. Late Pickup & Extended Rentals

  • Rentals are for the agreed rental period only.

  • If equipment is not available for pickup at the scheduled time, additional rental charges may apply.

  • Extended rentals must be approved in advance and are subject to availability.

8. Safety

  • Customers are responsible for supervising all guests using the rental equipment.

  • Standing on chairs or tables or using equipment for unintended purposes is prohibited.

  • Customers assume responsibility for any injuries resulting from misuse of rental equipment.

9. Liability

  • Santos Party Rentals LLC is not responsible for injuries, property damage, or losses resulting from misuse of rental equipment, weather conditions, or events beyond our control.

  • The customer assumes all responsibility for the safe use of rented equipment during the rental period.

Cancellation Policy

  • Cancellations made 14 or more days before the scheduled event will receive a full refund, excluding any non-refundable payment processing fees.

  • Cancellations made 7–13 days before the event will receive a 50% refund of the total amount paid.

  • Cancellations made less than 7 days before the event are non-refundable.

  • Once equipment has been delivered, no refunds will be issued.

  • If severe weather makes delivery unsafe or impossible, customers may choose to reschedule (subject to availability) or receive a credit toward a future rental.

  • Failure to be present at the scheduled delivery time may result in additional delivery charges or cancellation without refund.

Agreement

By reserving equipment from Santos Party Rentals LLC, the customer acknowledges that they have read, understood, and agree to these Rental Terms & Conditions and Cancellation Policy
